(hereinafter referred to as “the Company”) recognizes that protecting personal information through services, such as the accommodation reservation website “Resort Glamping.com” as well as other websites and guest accommodation promotional services, is a crucial part of fulfilling its social responsibility when achieving its management philosophy. The Company recognizes the importance of personal information it collects, uses, stores, provides, and discards related to its customers and business associates (hereinafter collectively referred to as “personal information”), and it respects individual rights and interests, and handles personal information in compliance with the Act on the protection of personal information and other relevant laws and norms. Therefore, the Company has established internal rules and systems, and stipulated the following basic policy (hereinafter referred to as “this Policy”).
1. The Company complies with the Act on the protection of personal information, the Act on the use of numbers to identify a specific individual in administrative procedures, related laws, regulations and guidelines issued by relevant authorities (hereinafter collectively referred to as “laws and regulations”), and personal information is handled appropriately in accordance with the laws and regulations.
2. The Company endeavors to keep personal information accurate and up-to-date within the scope necessary to achieve its purposes of use, and it takes necessary and appropriate measures to prevent leakage, loss, or damage to personal information and ensure its safe management.
3. The Company establishes and enforces internal systems and rules to protect personal information and keeps improving them continuously. In the event of an issue, corrective measures are promptly taken.

The Company acquires personal information in the following ways during transactions involving the Company’s accommodations, described accommodation facilities (hereinafter collectively referred as to “the facilities”), and other products (e.g., accommodations, dining, merchandise sales, other products and services), as well as transactions with the Company’s business partners:

2.Purpose of Use
The Company uses personal information within the scope necessary to achieve the following purposes, and personal information will not be used for other purposes without prior consent:
①To facilitate transactions, involving accommodations, dining, merchandise sales, other products and services, provided by the Company and its partners, including communication, product delivery, payment and other related activities.
②To respond to inquiries and requests regarding the Company or its partners.
③To send promotional materials, advertisements, and surveys via email, mail, courier, phone, fax, and other means.
④To analyze, improve, and develop services and products offered by the Company and its partners, and for marketing purposes.
⑤To provide appropriate information on the website and reservation services, maintain security, manage website security, and deliver statistical analyses on the security management and usage situations or related third-party advertisements.
⑥To manage and operate the Company’s membership programs and provide related services.
⑦To create, prepare and store guest lists in accordance with laws and regulations.
3.Provision of Personal Information
The Company does not provide personal information to third parties without the individual’s consent except in the following cases:
①With the individual’s consent.
②When required by law
③To protect life, health or property when obtaining the individual’s consent is difficult.
④To promote public health or healthy child development when obtaining the individual’s consent is difficult.
⑤When cooperating with the government organizations, local authorities or entrusted parties in fulfilling legal duties, where obtaining the individual’s consent may hinder the execution of such duties.
⑥When entrusting the handling of personal information within the scope necessary to achieve specific purposes.

5.Subcontracting
To provide products and services, the Company may partly subcontract operations and provide personal information to subcontractors within the scope necessary to achieve its purposes. In such cases, the Company will have a non-disclosure agreement (NDA) regarding the handling of personal information with subcontractors and ensure proper management and oversight of them.
6.Measures to Safely Manage Retained Personal Data
①Organizational Security Measures
・The Company has established policies regarding the handling of personal information, and disseminates them internally as part of its privacy policy. The policies are also publicly available on the Company’s website.
・For each stage of handling personal information, such as acquisition, usage, storage, provision, deletion and disposal, the Company defines procedures of ways of handling, person in charge and tasks, and compiles these as regulatory documents. They are thoroughly informed internally.
・The Company implements regular self-inspections of the handling of personal information.
・Access to personal information is restricted to designated employees.
②Human Security Measures
・The Company provides regular training to employees regarding the handling of personal information.
・All employees are required to sign a non-disclosure agreement (NDA).
③Physical and Technical Security Measures
・To prevent unauthorized access to personal information by employees without appropriate permission or by unauthorized third parties, the Company implements measures, such as the intended arrangement of employees’ workstations.
・Access to personal information is restricted to designated employees.
・Personal information is stored in locked cabinets and on servers with access restrictions.
・To prevent unauthorized external access to servers, the Company has introduced Firewall and other security systems.
Additionally, measures are taken to protect against unauthorized computer software such computer viruses.
④Understanding External Environments
・The Company does not subcontract the handling or storage of personal information to entities outside Japan.
7.Procedures for Requests Regarding Disclosure, etc.
For inquiries regarding retained personal data, such as notification of the purpose of use, disclosure, correction, addition, deletion, suspension of use, or suspension of provision to third parties, or for requests concerning the disclosure of third-party provision records, please contact our inquiry office. The Company will provide information regarding the necessary procedures. In accordance with laws and regulations and Company’s policies, the requested information will be disclosed within a reasonable period, using the method specified by the individual making the request. Additionally, if the Company is unable to fulfill all or part of te request, the reasons will be explained.
